About My TripSheet
My TripSheet is a personal and collaborative trip planning tool that helps you organize itineraries, manage trip expenses, track budgets, and collaborate with travel companions. My TripSheet is part of the RoadPple ecosystem and may be accessed as a standalone subscription or bundled under a RoadPple Pass.
Eligibility

Your Account
- You are responsible for maintaining the security of your login credentials.
- You must notify us promptly if you suspect unauthorized access to your account.
- Each account is personal and non-transferable unless otherwise agreed in writing.
- RoadPple Corp. is not liable for losses resulting from unauthorized account use.
Permitted Use
My TripSheet is designed for lawful personal and collaborative trip planning. You agree not to:
- Attempt to reverse-engineer, copy, or redistribute any part of the application.
- Use automated tools, bots, or scripts to access or scrape app data.
- Upload malicious content, viruses, or disruptive code.
- Impersonate another person or entity within the platform.
- Use My TripSheet for any unlawful or fraudulent purpose.
User-Generated Content
Content you create within My TripSheet — including trip plans, expense notes, itineraries, and documents — belongs to you. By storing this content on our platform, you grant RoadPple Corp. a limited, non-exclusive licence to host, display, and process your content solely for the purpose of providing and improving the service. We will never sell or share your trip content with third parties for marketing purposes.
Third-Party Services & Integrations
My TripSheet may offer integrations with third-party services (such as mapping, currency conversion, or calendar tools). Your use of such services is subject to those providers' own terms and privacy policies. RoadPple Corp. is not responsible for the availability, accuracy, or conduct of third-party services.
RoadPple Ecosystem
My TripSheet is one app within the broader RoadPple platform, which also includes WeCalendar, Innerceku, and the core RoadPple marketplace. Use of other RoadPple ecosystem apps is subject to their respective terms. The RoadPple Pass subscription grants access to multiple ecosystem apps under a single plan.
Termination
You may close your account at any time from your Account Settings. RoadPple Corp. reserves the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or compromise platform integrity. Upon termination, your data will be handled in accordance with our Privacy Policy and Data Retention Policy.
Limitation of Liability
My TripSheet is provided "as is". While we work hard to ensure reliability, RoadPple Corp. is not liable for data loss, inaccuracies in trip or expense calculations, third-party service failures, or decisions made based on information within the app. Users are encouraged to maintain their own records for financial or legal purposes.
Updates to These Terms
We may update these Terms from time to time. We will notify you of material changes via in-app notification or email. Continued use of My TripSheet after changes are published constitutes your acceptance of the revised Terms.

Privacy Policy

What We Collect
- Account data: Name, email address, and profile photo.
- Trip & planning data: Itineraries, destinations, dates, notes, and documents you create.
- Expense data: Costs, categories, currency, and split information you enter manually.
- Usage data: Feature interactions, session length, device type, OS version, and app version.
- Subscription & billing data: Plan type and billing status (full payment details are handled by our third-party payment processor and never stored by us).
- Support data: Communications you send to our support team.
How We Use Your Data
- To provide, maintain, and improve My TripSheet features.
- To sync your trips and data across your devices.
- To manage your subscription and billing status.
- To send service notifications, security alerts, and policy updates.
- To analyze aggregate, anonymized usage patterns for product development.
- To comply with applicable laws and protect the security of the platform.
Data Sharing
We do not sell your personal information. Your data may be shared only in these limited circumstances:
- Account data: Trip content you explicitly share with travel companions is visible to them within that trip only.
- Trip & planning data: Trusted vendors who assist with hosting, payment processing, analytics, and customer support, bound by strict confidentiality agreements.
- Expense data: When required by law, court order, or to protect the safety of users or the public.
- Usage data: If you use a RoadPple Pass, basic account identity (name, email) is shared across ecosystem apps to enable single sign-on. Trip data is never shared cross- app without your explicit action.
Payment Protection
Subscription payments are processed through a secure third-party payment provider. My TripSheet never stores your full card number, CVV, or bank account details. Billing history and plan status are stored for account management purposes only.
Your Privacy Rights
As a user you have the right to:
- Access a copy of the data we hold about you.
- Correct inaccurate personal information.
- Request deletion of your account and associated data.
- Export your trip and expense data in a portable format.
- Withdraw consent for optional data processing at any time.

Cookies & Analytics
The My TripSheet web app uses essential cookies to maintain your session and preferences. We also use privacy-respecting analytics to understand feature usage in aggregate. You may disable non-essential cookies in your browser settings. The mobile app does not use browser cookies; analytics are managed through the mobile app settings.
Data Retention
We retain your data for as long as your account is active. If you delete your account, your personal data and trip content will be permanently deleted within 30 days, except where retention is required by law (e.g., financial records). Anonymized, aggregated usage data may be retained indefinitely.
Children's Privacy
My TripSheet is not directed at children under the age of 13 (or 16 in certain jurisdictions). We do not knowingly collect personal data from minors. If you believe a minor has created an account, please contact us immediately.
SECTION 3
Subscription Terms

Free Trial
New users may be eligible for a 3-day free trial of My TripSheet. During the trial period, you have full access to app features. At the end of the trial, your account automatically converts to a paid plan unless you cancel before the trial expires. No charge is made during the trial period.
Billing & Renewal
- Subscriptions are billed at the start of each billing period (monthly or annual).
- Subscriptions renew automatically unless cancelled before the renewal date.
- You will receive a renewal reminder before annual subscriptions renew.
- All payments are processed securely through our third-party payment provider.
- Failed payments may result in a brief grace period before access is paused.
Cancellations
You may cancel your subscription at any time from Account Settings → Subscription. Cancellation takes effect at the end of the current billing period. You retain full access until then.
- Monthly plans: Cancel any time; access continues until month-end.
- Annual plans: Cancel any time; access continues until the annual term ends. Partial-year refunds are not issued unless required by applicable consumer protection law.
- RoadPple Pass cancellations affect access to all bundled ecosystem apps simultaneously.
Refunds
Subscription fees are generally non-refundable after a billing period begins. Exceptions include:
- Verified billing errors or duplicate charges: full refund issued within 5–10 business days.
- Service outages exceeding 48 consecutive hours: pro-rated credit or refund at our discretion.
- Refund requests required under applicable Canadian consumer protection legislation.
To request a refund, contact [email protected] within 14 days of the charge.
Plan Upgrades & Downgrades
- Upgrading from a standalone plan to a RoadPple Pass takes effect immediately; billing is adjusted on a pro-rated basis.
- Downgrading takes effect at the end of the current billing period.
- Switching between monthly and annual billing takes effect at the next renewal date.
Price Changes
We reserve the right to modify subscription pricing with a minimum of 30 days' advance notice delivered via email and in-app notification. Continued use after a price change takes effect constitutes acceptance of the new pricing.
SECTION 4
Data & Storage Policy

Data Ownership
You retain full ownership of all content you create in My TripSheet, including trip plans, itineraries, expense records, notes, and uploaded files. RoadPple Corp. does not claim any intellectual property rights over your trip data.
Cloud Sync & Backup
- Trip data is automatically synced to secure cloud servers when you are connected to the internet.
- All data is encrypted in transit (TLS) and at rest (AES-256).
- Offline changes are queued locally and synced when connectivity is restored.
- Cloud backups are taken daily and retained for 30 days, allowing recovery of recently deleted content upon request.
Collaboration & Sharing
- You may invite collaborators to specific trips by email. Collaborators can view and edit only the trips they have been granted access to.
- Removing a collaborator revokes their access immediately.
- Shared trip links (if enabled) can be revoked at any time from trip settings.
- You are responsible for the collaborators you invite and the content shared within shared trips.
Data Export
You may export your data at any time from Account Settings → Export Data. Available export formats include PDF trip summaries and CSV expense records. We aim to fulfill export requests within 48 hours.
Data Deletion
- Individual trips or expense entries can be deleted at any time from within the app.
- Deleting your account permanently removes all associated data within 30 days.
- Deleted data cannot be recovered after the 30-day grace period.
- Financial transaction records required for legal or tax compliance may be retained for up to 7 years in anonymized or aggregated form.
Storage Limits
Storage limits may apply based on your plan. Current limits are displayed within your Account Settings. If your usage approaches the limit, you will receive an in-app notification. Exceeding the limit may restrict the upload of new files until storage is freed or your plan is upgraded.
Map & Location Data
My TripSheet integrates mapping features to assist with route planning. Map interactions use your entered destinations to generate routes. Your device's precise GPS location is only accessed if you explicitly enable location services. Location data from map interactions is not stored on our servers beyond the current session.
Inactive Accounts
Accounts with no login activity for 24 consecutive months may be flagged as inactive. We will notify you by email before any action is taken. You may reactivate your account at any time by logging in. Data for permanently inactive accounts may be deleted after the notice period.
SECTION 5
Safety Policy

Community Standards
When using My TripSheet in a shared or collaborative context, you agree to:
- Treat collaborators with respect and professionalism.
- Not use shared trip spaces to harass, intimidate, or share harmful content.
- Not upload or embed content that is illegal, defamatory, or violates others' rights.
- Not share or expose another person's personal information without their consent.
Account Security
- Use a strong, unique password for your My TripSheet account.
- Enable two-factor authentication (2FA) where available.
- Do not share your login credentials with others.
- Log out of shared or public devices after each session.
- Report any suspected unauthorized access to [email protected] immediately.
RoadPple Ecosystem Interactions
If you use My TripSheet in conjunction with other RoadPple ecosystem apps (such as RoadPple Marketplace), activities within those apps, including interactions with Road Planners and Goers, are governed by the RoadPple Safety Policy. Please review those policies at roadpple.com/policies.
Reporting Concerns
If you encounter content or behaviour within My TripSheet that violates these policies, please report it using the in-app Report function or by contacting us directly. We investigate all reports and take appropriate action, which may include removing content, suspending accounts, or escalating to law enforcement where required.
Platform Security
- All data is encrypted in transit using TLS 1.2 or higher.
- Data at rest is encrypted using AES-256.
- Access controls limit which team members can access user data, on a need-to-know basis.
- We conduct regular security reviews and vulnerability assessments.
- In the event of a data breach that affects your personal information, we will notify you in accordance with applicable Canadian privacy legislation (PIPEDA / provincial equivalents).
